WHSTF Marketing Opportunities

All advertisements, vending booths, sponsorships, and swag commitments must be finalized by October 15, 2020, to make the publication deadline.

The Wisconsin High School Theatre Festival reaches more than 1,700 Wisconsin high school students, teachers, and other theatre professionals. We partner with Footlights for a professional theatre-style printed program, and offer sponsorship opportunities with signage at the event and program advertising incentives.

Sponsorship Options

  • $1,000 – One-act theatre venue (2 venues)
    • Includes full page grayscale ad (+$200 upgrade to full-color)
    • Logo on signage at venue and in online results packet
    • If a virtual festival is held, logo and a spoken announcement about the sponsorship will be made prior to any streamed shows.
    • Venue assigned by: (1) past support; (2) order requests received
  • $700 – Showcase time slot (canceled for 2020)
    • Includes full page grayscale ad (+$200 upgrade to full-color)
    • Logo on signage at venue
  • $600 – Name badge lanyards (1 lanyard sponsor/year)
    • Sponsor provides 1,800 lanyards; alternatively, we order, invoice you for cost
    • Includes 1/2-page ad (+$150 upgrade to B/W full-page or +$350 full-page/color)
    • $300 will be refunded if a virtual festival is held; advertisements paid will still be run in the program.
  • $500 – Workshop room (4 workshop rooms)
    • Includes 1/2-page ad (+$150 upgrade to B/W full-page or +$350 full-page/color)
    • Logo on signage at venue + listing in program schedule
    • If a virtual festival is held, logo and a spoken announcement about the sponsorship will be made prior to each workshop.
  • $400 – Hospitality service (2 sponsored services)
    • Logo on signage at venue, and listing in program
    • Refunded if a virtual festival is held.

  • Setup: Thursday, November 19, 4-6pm
  • Exhibit: Friday, Nov. 20, 9am-4pm, Saturday, Nov. 21, 10am-12 Noon
  • Strikedown: Saturday, November 21, 12 Noon-2pm
  • $150 fee ($25 discount if paid before October 1) includes 1 display table, 2 chairs and 2 name badges that allow you access to all festival activities (excluding showcase performances), and listing in the printed Footlights program.
  • We offer coffee and light snacks during the festival
Exhibit Guidelines/Details
  • Exhibitors must provide their own table linens, extension cables, and power strips.
  • Internet access must be booked by the initial exhibit application deadline. WIFI is usually free; wired (ethernet) connections may require an additional fee to exhibitor for cabling service; our office will contact exhibitors if additional fees are involved.
  • Exhibit tables will be assigned by the festival. Additional tables are $100/ea.
  • Noise/visual elements from booths must not affect the presentation of other exhibitors.
  • Only the WHSFA may sell T-shirts, drawstring backpacks, magnets, and pens. No other vendor may sell T-shirts of any kind, other than those that are clearly for the purpose of staging costume. Lanyards may only be provided by an organization who books that sponsorship.
  • Additional exhibit staff (beyond the allowed 2 persons) will be charged $10 per person.
  • Exhibits are expected to remain for the entire exhibiting period during the festival, unless prior arrangements/special requests have been made with festival management.
  • Exhibitors must take all materials, including trash, with them at the conclusion of their vending period. A maintenance fee may be assessed if an exhibitor’s area is left disorderly or damaged.
  • Exhibit pricing is for the entire festival; partial pricing is not available. Refunds will be given, minus credit card fees, as follows: 192+ hours (8 days) prior = full booth booking fee; 49-191 hours (2-7+ days) prior = one-half of booth booking fee; less than 48 hours = no refund. All fees must be paid prior to the start of the festival. Exhibitors with unpaid fees will not be permitted to attend.
  • The WHSFA reserves the right to refuse reservations to any exhibitor.
  • Items may be shipped ahead of the festival; open the toggle below to read information specific to this year’s festival.

  • NOTE: Submitting an Exhibiting Application indicates your knowledge, understanding, and acceptance of the WHSTF Exhibiting Guidelines. If you do not agree to the guidelines, do not submit an Exhibiting Application.
  • The WHSFA retains the right to amend guidelines as necessary and where required by university policy or local laws. Exhibitors will be notified of any guidelines changes immediately.

  • All exhibitors should unload Thursday through the main front doors of the Noel Fine Arts Center, but may make prior arrangements with Gary Olsen to use the dock.

Virtual Exhibits

If COVID-19-related issues force a virtual festival, we will create a directory of “virtual rooms” where you can create a drop-in videoconference space for festival participants to hear your pitch/presentation and/or ask questions using online chat features.

We also invite vendors to submit brief video commercials (MP4 or MOV format), no longer than 30 seconds in length, to be placed in the online directory. Depending on the scope and scale of festival programming, these commercials will be played to participants throughout the festival weekend. Videos would be due by November 1.

Finally, we will send targeted emails to registered festival participants with a directory of colleges/universities, as well as products/tools for secondary school theatre programs.


Advertising in the program booklet not only helps support programming to keep performing arts vital in the lives of young people, but it raises awareness of your products/services used by directors, as well as institutions of higher learning looking to recruit students.

Use links to the right of each above for dimensioned templates. Ads must be submitted as PDF format. High-resolution scans should be supplied at 300 dpi, line art at 600 dpi, and should be saved as PDF. Color images must be saved as CMYK. All printer and screen fonts must be provided or saved as outlines. Publications are printed heat set web and/or sheet fed offset and saddle stitched.

If a virtual festival is held, the booklet will be done electronically.


For a swag sponsorship fee of $100, send us your swag to stuff in bags for each school. We’ll also list you as a swag provider in our exhibit list in the program booklet.

  • One item per school = send for up to 80 schools
  • One item per participant = send for up to 1,800 participants
  • Swag must be shipped to arrive as per exhibiting shipment instructions above.
